The Challenge:
As Comcodia expanded as a company, there were problems with clients’ HR interactions, such as onboarding, attendance tracking, payroll, and performance evaluations. The systems they had in place were causing problems and complexities that became inefficient and did not allow for well-informed decisions to be made. In addition, they did not have tools like BI, AI, and chatbots that could have simplified operations and provided relevant feedback. they were looking for a solution that harnessed the latest technology to integrate processes effectively and enhance human resource management.
To solve this exact problem Comcodia came to us for a solution. We discussed and asked what their requirements were and came up with a solution that they liked. Here we have discussed this particular system in this case study.
The Solution:
We embarked on the journey of developing a robust Human Resource Management System (HRMS) that aims to automate HR processes, and transactional HR processes, support better decision-making, and improve the employee experience. It was envisioned that this system would centralize our processes while also adding new capabilities like BI for analytics, AI for better decision-making, and a Bot for user assistance.
Tech Stack:
Frontend:
- For the front end, we decided to implement Angular due to its robust capabilities in creating rich interfaces that are easy to use and navigate.
Backend:
- .NetCore served as the framework of our application, allowing seamless management of the logic and workflows.
Database:
- PostgreSQL was our choice for all structured data in HR due to the high security expectations.
BI and Analytics:
- Power BI provides sophisticated visualization and reporting, enabling us to track trends and base our actions on facts.
Artificial Intelligence:
- Employing Python, TensorFlow, and Scikit-learn, we created models to predict employee attrition, performance, and other variables, which gave us a proactive approach.
Chatbot:
- A Dialog Flow-powered HRMS Chatbot was responsible for answering employee questions and addressing mundane tasks.
Deployment:
- AWS provided a safe and robust environment for our HRMS deployment, where we made use of EC2, S3, and RDS for reliable and secure hosting and smooth operation of the HRMS.
Tackling Challenges:
Data Integration:
- It was a very cumbersome process to aggregate data from various regions or points. We overcame this challenge by creating custom ETL pipelines which facilitated data cleansing and adherence to standards that made the data trustworthy and usable.
AI Model Accuracy:
- Training AI Models was not that easy. Predictive accuracy came after lots of tests and configuration but the outcome was rewarding.
User Adoption:
- The more advanced features were what required new users more time to cope. We ensured the change was painless for users by conducting interactive training sessions and developing step-by-step guides.
Scalability:
- The HRMS was built while keeping scale in consideration by applying a modular approach and enhancing the database for projected increases in the number of users and data.
Key Features:
- Centralized HR Management:
- A registry system for the maintenance of files concerning employee records, attendance, payroll, and performance evaluations.
- BI and Analytics:
- Dashboards and reports that allow users to visualize and monitor trends, productivity, progress, and even attrition.
- Plan hiring needs and detect targeted workers early through predictive analytics.
- AI-Powered Tools:
- Automates such tasks as resume pre-screening, performance evaluations, and a system for training recommendations.
- Chatbot:
- The 24/7 virtual assistant addresses frequently asked issues by employees associated with leave, payroll, and HR policies.
- Also simplifies routine tasks such as submission of leave applications and expense claims.
- Custom Workflows:
- Approval workflows customized per role and organization.
- Employee Self-Service:
- Through an easy-to-navigate engagement portal, employees can conveniently view their payslips, edit personal information, and submit leave requests.
- Security and Compliance:
- Role-based access control, encryption, and GDPR compliance ensure necessary built-in security requirements are met.
The Results:
- Simplified Operations:
- HR departments can now focus on strategic initiatives since automation has reduced the amount of manual work required.
- Better Decision-Making:
- BI dashboards enabled the HR teams to spot trends and make speedy decisions.
- Happier Employees:
- Employees received responses to their questions and the assistance that they needed through the self-service portal and AI chatbot.
- Cost Savings:
- Process automation and an all-in-one tool significantly reduced expenditures.
- Future-Ready:
- The unique scalable nature of this system guarantees the organization’s growth is kept in tandem.
The traditional way of carrying out HR functions has been revolutionized. Through the integration of BI, AI, and chatbots into the HRMS, not only did we meet our immediate requirements, we positioned ourselves for long-term success.
